Supervised professional training and collaboration with working life at the Department of Art, Design and Drama

Supervised professional training and contact with working life are an exciting and important part of educational programmes. Below you will find information and guidelines regarding supervised professional training and collaboration with working life in the various programmes of study at the Department of Art, Design and Drama. This information is aimed at our students and partners in education, healthcare, fashion and dissemination in the arts and cultural sectors.

Legislation and legal guidelines via the Act relating to Universities and University Colleges (lovdata.no) and the Regulations relating to studies and examinations at OsloMet (lovdata.no) apply to procedures for collaboration with working life and the implementation of supervised professional training at the department.

    The supervised professional training calendar for the coming academic year will be published here during March. Information for students about implementation of supervised professional training is reviewed at the start of the semester and allocation of supervised professional training placements will be published on the Canvas learning platform before the collaboration meeting.

  • Attendance and absence from supervised professional training

    Attendance

    Supervised professional training is a compulsory part of the programmes of study. The percentage of required attendance is stipulated in the various programme and course plans, as well as in National Curriculum Regulations for teacher education. The attendance requirement cannot normally be waived cf. Regulations relating to studies and examinations at OsloMet (lovdata.no).

    Please note that the percentage of required attendance in supervised professional training varies in the various supervised professional training courses at the department. The percentage of required attendance will be stated in the relevant programme and course plans.

    Parts of the supervised professional training may take place outside of the academic year if this is particularly beneficial for all parties involved in the training collaboration. This is agreed upon by the department in dialogue with each supervised professional training placement provider before the start of the training, and any such arrangement must also be agreed upon by the student undergoing supervised professional training.

    Student attendance

    Students must be present at their supervised professional training placement for full working weeks of 37.5 hours each, and within the working hours of 08:00-16:00. Adjustments to working hours can be arranged between students and their supervised professional training placement provider. Variations in working hours may occur at different supervised professional training placements, as attendance and the content of the training are defined by the supervised professional training placement provider and the practical training supervisor’s work schedule.

    Absence

    • Students who are unable to complete their supervised professional training due to documented illness or other compelling reasons for absence can apply to the faculty for deferral of their supervised professional training.
    • Deferral of supervised professional training may be granted where this is feasible with respect to the allocation of supervised professional training placements.
    • The faculty determines whether students with absence from supervised professional training pursuant to the first paragraph must retake the entire period of supervised professional training, and when the deferred period of training can be undertaken.
    • Students who have received a ‘fail’ grade for their supervised professional training must retake the entire period of supervised professional training the next time it is arranged ordinarily.
    • If a student’s period of supervised professional training is annulled due to formal errors, a new period of supervised professional training must be arranged as quickly as possible.

    If a student has not followed compulsory teaching or completed required coursework (or if they have not met supervised professional training attendance requirements in a course), the student will not be able to take the examination in question. 

    There is a distinction between absence that cannot be compensated for and absence that can be compensated for by the end of the regular period of supervised professional training. 

    Absence that cannot be compensated for

    • Absence not documented by self-certification, medical certificate or approved leave of absence 

    Approved absence that can be compensated for

    • Approved leaves of absence and documented illness of oneself or one’s own children are considered approved absence
    • All approved absence must be compensated for in the form of an extended period of supervised professional training.
    • At the end of the ordinary period of supervised professional training, the practical training supervisor, in collaboration with the department, will determine how such absence will be compensated for. The student must compensate for the absence as soon as possible, and no later than by the end of the academic year.

    Absence due to illness

    In the event of absence due to illness, students must immediately notify their supervised professional training placement provider. In the event of absence due to illness up to 3 days, self-certification must be submitted to the practical training supervisor. If the total amount of absence during the period of supervised professional training exceeds 3 days, a medical certificate/notification of sick leave must be submitted to the practical training supervisor. A medical certificate/notification of sick leave must be submitted as soon as the student is well and back at the supervised professional training placement. 

    Leaves of absence - approved absence that can be compensated for

    • A leave of absence from supervised professional training may be applied for. If the application involves at least one day of absence, it must be submitted on a form to the supervised professional training administration as soon as the student becomes aware of the need for a leave of absence. Documentation must be attached to the application.
    • Leaves of absence are granted only in exceptional cases:
    • For welfare reasons: caregiving responsibilities, illness, and death in the immediate family.
    • When taking examinations at OsloMet.
    • For students involved in elite sports who are covered by the agreement between Olympiatoppen and OsloMet.
    • For up to two days of leave per year in connection with holidays related to religion or personal beliefs.
    • In the event of military service.
    • To participate in events or organisational work at national or international level.
    • It is required that the organisation or event organiser guarantees to reimburse the university for any expenses related to an extended period of supervised professional training.
    • The supervised professional training administration does not grant leaves of absence in connection with holiday travel, leisure activities, participation in television programmes, talent competitions, courses, seminars, working conditions, weddings, various family/friend gatherings, etc. 
    • Practical training supervisors may grant leaves of absence for part of individual days but must not make arrangements with students to start later or leave earlier on a regular basis.

    Exception – approved absence that must not be compensated for

    • In relation to student politics appointments at OsloMet, a student may take up to two days of leave per semester without having to compensate for the absence. However, a leave of absence must be applied for regarding the days in question.
  • Supervision and assessment of professional training

    Supervision and assessment of professional training

    Students in supervised professional training and in contact with working life throughout their studies at the Department of Art, Design and Drama must receive regular supervision and feedback. This is to ensure that they are informed about how they are performing in relation to the requirements for passing their supervised professional training and future professional practice. 

    For each period of supervised professional training, there must be a minimum of a midway assessment given verbally and a final assessment given in writing, where the student’s performance is assessed in relation to the learning outcomes associated with the course and the period of supervised professional training. For periods of supervised professional training shorter than one (1) working week, a midway assessment may be omitted. 

    During periods of supervised professional training in teacher education at the Department of Art, Design and Drama, students will mainly be placed into groups of 3-4 students and receive group supervision throughout the period of supervised professional training. Only verbal midway assessment and review of written final assessment are individual. Periods of supervised professional training in programmes of study at the department can be implemented individually if this is stipulated in the relevant programme and course plan.

    Supervised professional training is assessed using the grading scale pass/fail.

    Students as substitute teachers

    It is not permitted to use students as paid substitute teachers during the periods of supervised professional training, as they are undergoing training as part of a course of study. For student teachers admitted to LUPE and 1-year programmes in educational theory and practice, this means that the practical training supervisor must be present when students are teaching. If the practical training supervisor is absent/not able to attend, the manager at the supervised professional training placement provider can arrange for independent training for 1-2 days per period of training, which must be planned and supervised. This cannot be arranged for observation days before a period of supervised professional training. 

    Written assessment report

    If a written assessment report is required regarding implementation of supervised professional training, the supervised professional training team and student must receive a copy of the report.

    Submission of supervision and assessment report after completion of supervised professional training

    All parties involved in the collaboration on the teacher education programmes LUPE and 1-year programme in educational theory and practice must sign the Supervision and Assessment Report for Supervised Professional Training. The student, practical training supervisor and academic supervisor at OsloMet must sign the report before submitting it to the supervised professional training team at the Department of Art, Design and Drama. The report is the students’ written final assessment of the period of supervised professional training. 

    Please note that it is possible to save/retain the assessment report during the period of supervised professional training until the practical training supervisor submits the assessment after the student’s final day of training.

    • On the final day of supervised professional training, the practical training supervisor reviews the supervision and assessment report individually with the student. Both parties sign the report. The practical training supervisor submits the assessment report by sending it to the practical training supervisor at OsloMet for signing.
    • The practical training supervisor at OsloMet signs and forwards the reports for their supervised professional training groups to the supervised professional training team at the Department of Art, Design and Drama: praksis-est@365.oslomet.no 

    Deadline for submission: One week (7 days) after the final day of supervised professional training.

    In the event of doubt regarding passed supervised professional training

    If there is any doubt as to whether a student will pass their period of supervised professional training, the supervised professional training placement provider, in consultation with the department, must notify the student in writing as early as possible or via the midway assessment. At the same time as receiving the notification, the student must be also be invited to a meeting to discuss the situation.

    The notification must be given in writing and indicate what the student is not mastering to a satisfactory level, and what requirements must be met in order for the student to pass the supervised professional training. Before the period of supervised professional training and as required, the supervised professional training placement provider and/or assigned supervisor from the department will receive a form to complete for written notification. The supervised professional training team establishes a dialogue on how the notification should be submitted with regard to data protection considerations.

    Failed supervised professional training

    A student may receive a ‘fail’ grade after undergoing an academic assessment.

    A student may receive a ‘fail’ grade without prior written notification if:

      • the student does not meet the attendance requirements.

      • the student is not able to complete the period of supervised professional training due to circumstances attributable to the student.

      • the student, towards the end of the period of supervised professional training, acts in a way or exhibits behaviour that undoubtedly provide grounds for failing the supervised professional training.

      • the student’s period of supervised professional training is shorter than one working week.

    If an academic assessment results in a ‘fail’ grade, a committee appointed by the faculty may confirm or annul the grade.

    A period of supervised professional training that receives a ‘fail’ grade counts as one attempt. Students are entitled to one new period of supervised professional training if the first period received a ‘fail’ grade.

    Expulsion from supervised professional training

    If a student in supervised professional training exhibits behaviour of a serious nature, where they create a risk to the life or health of others they interact with during the training, or if there are severe breaches of confidentiality, the supervised professional training placement provider can immediately terminate the period of supervised professional training and expel the student. In an event of this nature, the manager or Rector has the authority to decide that the student should not return to the supervised professional training placement in question. Such authority may also be delegated to a supervised professional training manager at the placement provider. In the event of expulsion, this procedure must be followed: 

    1. The supervised professional training manager at the placement provider must inform the student in question, the practical training supervisor and the assigned academic supervisor at the Department of Art, Design and Drama at OsloMet about the expulsion.

      • The student must be informed through a written expulsion notification that states the specific grounds for the expulsion.

      • The Department of Art, Design and Drama must be informed by quickly establishing contact with the assigned practical training supervisor, the programme coordinator or the programme of study’s academic or administrative contact person.

      • OsloMet must be formally notified about any doubt regarding suitability, where a copy of the expulsion notification is uploaded as documentation. Report doubts regarding suitability here.

    2. The practical training supervisor/academic supervisor must fill out the period of supervised professional training assessment form and submit a copy to the supervised professional training team at the Department of Art, Design and Drama and a copy to the student. Expulsion from the supervised professional training placement will result in the student being assessed as having failed supervised professional training, even if notification about this was not given during the training period. This is in accordance with the applicable procedures in the event of doubt regarding passed supervised professional training.

    3. In the further process at OsloMet, the student will be called in for a supervisory meeting at the department, where the student can present their side of the case.

    In the event of expulsion, the student may not return to the supervised professional training placement, and an assessment of the student’s supervised professional training and suitability must also be made by the training placement provider. These are different processes that are nevertheless connected. Feel free to contact the supervised professional training team at the department for any clarifications and information about progress. 

  • Certificate of good conduct from the police

    Certificate of good conduct from the police

    New students must present a certificate of good conduct from the police when they have been admitted to a programme of study that requires this. In general, this applies to programmes of study where students conduct supervised professional training and are in contact with children and young people in school and training, arts and cultural arenas and in healthcare services.

    Students who do not provide an approved certificate of good conduct from the police are not entitled to participate in supervised professional training at the Department of Art, Design and Drama. They are also not permitted to take examinations that require such certification. In addition, it will not be possible to obtain a diploma for completed education.

    Suitability at the Department of Art, Design and Drama

    The following programmes of study at the Department of Art, Design and Drama are subject to Regulations relating to suitability assessment in higher education (lovdata.no):

    • Lærerutdanning i praktiske og estetiske fag trinn 1-13, design kunst og håndverk 

    • PPU i design kunst og håndverk (heltid/deltid) 

    • PPU i drama- og teaterkommunikasjon (heltid/deltid) 

    • Kunst og design, studieretning kunst og formidling  

    • Drama- og teaterkommunikasjon 

    • Master i estetiske fag, studieretning kunstterapi (deltid)

    • Master i estetiske fag, studieretning kunst- og designdidaktikk (heltid/deltid)

    What is a suitability assessment?

    Students’ academic and personal prerequisites for functioning in future professional practice must be assessed. A student who poses a potential risk to the lives, physical and mental health, rights, and safety of children in kindergartens, pupils, patients, clients, and users will not be considered suitable for the profession. 

    Ongoing suitability assessment of individual students takes place continuously throughout the course of study, both in the theoretical and practical part of the programme. This means that teachers, practical training supervisors, academic supervisors and other persons involved with the student in educational settings have a responsibility to make ongoing assessments, provide guidance, and submit notification of any doubts they have about a student’s suitability when necessary.

    A special suitability assessment begins with a submitted notification of doubt, which is processed by the person responsible for suitability assessments at OsloMet.

    Upon submission of a notification of doubt regarding suitability, the case will be investigated and the student will be called for an assessment meeting in which they will be given the opportunity to present their side of the case. In most cases where a notification of doubt regarding suitability has been submitted, extended supervision and further follow-up of the student will be initiated.

    Submitting a notification of doubt regarding suitability is both important in order to ensure that the student receives the follow-up they require throughout the programme and into a future career, and in order to safeguard the various user groups in different professional groups in society.

    Submitting notification of doubt regarding suitability

    Anyone can submit a notification of doubt regarding suitability, including academic and administrative staff at the university, fellow students, supervised professional training placement providers and practical training supervisors. The person submitting a notification of doubt regarding suitability is not party to the case and is not entitled to feedback, but will be informed that the notification has been received.

    If you wish to submit a notification of doubt regarding suitability, please use the form via the link below and upload the completed form and attached documentation. There must be grounds for the notification of doubt regarding suitability and it must be linked to at least one of the assessment criteria in the Regulations relating to suitability assessment in higher education, and documentation must be attached (for example, descriptions of supervisory sessions, situational descriptions, supervised professional training reports, emails, screenshots etc.).

  • Data protection and duty of confidentiality

    Sending sensitive information

    Sometimes, the supervised professional training placement provider requires you to email your personal identification number or other sensitive information. For example, to access tablets and other digital solutions for use during the period of supervised professional training. You will then need to send an encrypted email, which is done via the FileSender application (unit.no) (login with Feide).

    Duty of confidentiality

    As a student at the Department of Art, Design and Drama, you may gain knowledge about confidential information through your studies and supervised professional training. When you register for the semester in Studentweb, you confirm that you are aware of this duty of confidentiality.

  • Insurance as a supervised professional training student

    As a general rule, students are not insured regarding travel to and from the university, or to and from the supervised professional training placement. This may be covered by private travel insurance. Travel between campus and the supervised professional training placement may be covered pursuant to the National Insurance Act.

    When you are in supervised professional training at an enterprise/organisation, you will generally be considered an employee and be covered by the Occupational Injuries Insurance Act, the National Insurance Act, and/or the Working Environment Act. 

    Students in supervised professional training will be considered employees if they perform tasks similar to those of other employees at the employer and are covered by the Occupational Injuries Insurance Act. Regulations relating to the Working Environment Act apply to students who are not considered employees.

    The supervised professional training placement provider is responsible for ensuring that students are covered by applicable insurance policies at the start of supervised professional training. If supervised professional training is conducted in an enterprise/organisation where the student cannot be covered by the applicable insurance policy, the student must conduct their supervised professional training elsewhere.

    The department must ensure that supervised professional training partners and students are informed about regulations related to insurance via supervised professional training preparation and training placement.

  • Travel route and reimbursement

    Students undertaking compulsory supervised professional training on the teacher education programmes LUPE and 1-year programme in educational theory and practice may apply for travel reimbursement associated with travel to and from supervised professional training. If supervised professional training is carried out at a self-chosen arena or at the student’s own workplace, students will not receive travel reimbursement. Students on other programmes of study can apply for travel reimbursement upon agreement with the department.

    Travel support may be provided for supervised professional training upon application if the following criteria are met:

    • The supervised professional training placement is located outside of zone 1

    • The supervised professional training placement is located in a different zone than where the student lives

    • The student’s travel route to the place of study does not go through the zone where the supervised professional training placement is located.

    You can apply for travel support no later than two weeks after the period of supervised professional training has been completed.

    You must be prepared for some travel during the period of supervised professional training, in some cases up to 1.5 hours one way from Campus Pilestredet. Students who require a short travel route or an adapted supervised professional training placement due to health or family-related reasons can apply for adaptations before training begins. Students are requested to report the need for a specially assigned supervised professional training placement to the course coordinator as soon as possible.

    Students will receive more information about travel routes, reimbursement and adaptation via supervised professional training preparation and via the supervised professional training course on the Canvas learning platform.

    Important information

    • The travel expense reimbursement form must be filled out and submitted after the period of supervised professional training has ended, no later than two weeks after the end of training.

    • Expenses must be documented using original receipts/tickets, and travel expenses are covered based on travel by public transport. This means that if you choose to drive a car to the supervised professional training placement, travel expenses are covered equivalent to public transport expenses. You must find the relevant rates yourself and attach them to the reimbursement form.

    • Taxi bills are not covered.

  • Leaves of absence and adaptation of studies and supervised professional training

    Leaves of absence

    If you know that you will need a temporary break from your studies and supervised professional training due to pregnancy, childcare, military service, or illness, you can apply for a leave of absence from the programme of study. See more and apply for a leave of absence here

    Adaptation of studies and supervised professional training

    Do you have disability, chronic illness or other special needs that affect your studies? If so, you can apply for adaptation of your studies.

    All supervised professional training participation is compulsory and must be completed in order to pass the course. There are very few opportunities to adapt the content and format of the supervised professional training, but an approved application for adaptation may affect where you are assigned a training placement.     Contact a student adviser at the Student Administration

    Do you have questions about your studies at the Department of Art, Design and Drama and need guidance regarding the completion of your studies? Upon contacting the Student Administration, you will be assigned a student adviser affiliated with your programme of study who will provide you with support.  

    The guidance may pertain to extended admission to a course or specific programme of study, leaves of absence, need for adaptation, supervised professional training, exchange programmes, examinations, further studies, career advice, etc.

  • Evaluation and complaint procedures

    Course evaluation for better programme quality

    Supervised professional training must be evaluated both by the students and the supervised professional training placement provider. As a general rule, the evaluation should be carried out at the end of each period of training. Students must evaluate the period of supervised professional training based on established descriptors. The supervised professional training placement provider must evaluate how they have experienced collaboration with OsloMet, including procedures for the reception and academic follow-up of the students. Both the supervised professional training placement provider and the student should suggest improvement measures in their evaluation.

    The department evaluates supervised professional training at the end of each training course, which provides the opportunity for feedback on completed supervised professional training. At the end of a period of supervised professional training, the supervised professional training placement provider/practical training supervisor will be sent a link to evaluate the training collaboration.

    Complaints during the period of supervised professional training

    If you experience challenges or difficult situations at the supervised professional training placement in relation to fellow students, practical training supervisors or academic supervisors, the problem must be addressed directly with the person involved. If it involves a practical training supervisor, the problem can be discussed in a supervisory session. Do not wait until the period of supervised professional training is over.

    Dissatisfaction with conditions at a supervised professional training placement should first be addressed by the student(s) with the training placement provider itself.

    If this does not lead to a clarification or solution, you can request a meeting with the supervised professional training group’s assigned supervisor from the university.

    Complaints after the period of supervised professional training has ended

    As a student, if you wish to submit a formal complaint about the supervised professional training placement or the assessment of your supervised professional training, you must follow these guidelines:

    A complaint must be submitted in writing by the student(s) themselves or through a student representative/the Student Council to the head of studies of the programme, and grounds for the complaint must be specified. Complaints must be submitted no later than one week after the relevant period of supervised professional training has ended. 

    • Email the supervised professional training team and request a meeting regarding a complaint after the period of supervised professional training has ended: praksis-est@365.oslomet.no 

    • You will be called in for a meeting and the department will assess the complaint and further process

    • You must bring documentation to the meeting showing that the matter has been discussed with the practical training supervisor, manager at the supervised professional training placement provider, academic supervisor at the department or other persons associated with the implementation of your training.

    The complaint is then further assessed by the department.

    The complainant must receive feedback on how the complaint has been assessed and what actions, if any, have been taken in response to the matter. The supervised professional training placement provider must receive feedback if they are aware of the complaint.

    What can you complain about

    If you have been assessed as failing a period of supervised professional training and you believe formal errors have been made that have impacted the assessment, you may complain about this. When complaining about formal errors, the university’s provisions on complaints about formal examination errors must be followed. They are stipulated in Section 7-4 of the Regulations relating to studies and examinations at OsloMet - Oslo Metropolitan University (lovdata.no)

    Possible formal errors may include:

    • The student not receiving supervision, cf. Central agreements (regjeringen.no). 
    • The student not receiving follow-up in accordance with the improvement points outlined in the notification about potentially failing supervised professional training.
    • The student not receiving a midway assessment, cf. Regulations relating to studies and examinations at OsloMet - Oslo Metropolitan University 

    Whistleblowing channel at OsloMet

    Students and employees can report all types of censurable conditions. Censurable conditions refer to conditions or situations that are in violation of legal rules, written ethical guidelines, or widely accepted ethical norms in society, such as conditions/situations that may involve:

    • Risks to life or health

    • Risks to the climate or environment

    • Corruption or other financial crime

    • Abuse of authority

    • Unsafe learning or working environment

    • Breaches of personal data security (data protection breaches should be reported through a separate non-conformity channel)
